PlacementFlow tracks your entire recruitment funnel — from sourcing to placement. This guide explains what each metric means and how to use analytics to measure your ROI.
Go to Analytics to see your performance summary. The dashboard shows four key cards:
| Metric | What It Measures |
|---|---|
| Total Interviews | Interviews scheduled in the selected period |
| Avg Time to Schedule | Minutes from interview creation to confirmed time |
| Email Response Rate | Percentage of outreach emails that got replies |
| Total Time Saved | Hours automation saved vs manual scheduling |
Each metric includes a trend indicator showing how you're doing compared to the previous period.
Use the time range selector to view:
Trends aren't available for "all time" since there's no comparison period.
Go to Sourcing → Pipeline to see your funnel from outreach to placement:
Outreached → Replied → Interested → Submitted → Placed
Each stage shows a count and conversion rate to the next stage, overall and per role. This helps you identify where candidates are dropping off.
| Stage | What It Means |
|---|---|
| Outreached | First email sent to the candidate |
| Replied | Responded to your outreach |
| Interested | Expressed positive interest |
| Submitted | Sent to a client for review |
| Placed | Hired and retained |
Low conversion at a specific stage tells you where to focus:
The Email Performance section shows per-campaign metrics:
| Metric | What It Means |
|---|---|
| Sent | Total emails delivered |
| Interested | Clients who clicked "Schedule Interview" |
| Declined | Clients who clicked "Not Right" |
| Reply Rate | Percentage who replied to any email |
| Engagement Rate | Percentage who took any action (reply, interested, declined) |
Higher engagement means your submissions are relevant. If engagement is low, refine your candidate matching or screening notes.
The dashboard tracks interview outcomes:
If no-shows are high, consider sending more reminders or confirming attendance closer to the interview.
The Retention Card tracks long-term placement success:
| Milestone | Industry Benchmark |
|---|---|
| 90-day retention | 70% |
| 180-day retention | 61% |
| 365-day retention | 48% |
Your retention rates appear alongside benchmarks so you can see how you compare. Higher retention means better matches — and feeds back into the AI for future sourcing.
For agencies with multiple users, the leaderboard ranks recruiters by time saved:
| Rank | What It Shows |
|---|---|
| 1st-3rd | Medal icons for top performers |
| Name | Recruiter name |
| Interviews | Total interviews scheduled |
| Completion Rate | Percentage completed |
| Time Saved | Minutes of automation savings |
Use this to identify top performers and spot training opportunities.
The Forecast section projects future placements and revenue based on:
Projections include confidence intervals — a likely range rather than a single number.
To calculate your ROI from PlacementFlow:
Example: 60 hours saved × $50/hour = $3,000 value vs $2,500/month per AI desk = positive ROI
The sourcing pipeline and retention metrics show where your desk is strong and where to tighten — a healthy pipeline and high retention mean fewer failed placements and higher client satisfaction.
Use analytics weekly to spot trends. If a metric drops, investigate that stage of your pipeline. Over time, your retention record becomes proof of the quality your desk delivers.
