Calendar sync creates interview events automatically and checks for conflicts when scheduling. Microsoft 365 / Outlook is fully supported today; Google Calendar is coming — it's gated together with Gmail behind Google's security audit process, because email and calendar share one Google connection. This guide covers connecting your calendar and what happens once you're connected.
One Microsoft connection covers your email, your calendar, and Teams meeting creation — you don't connect them separately.
Google Workspace support is coming — it's pending Google's security audit process. Until that completes, the Google connect option shows as Coming soon and can't be enabled. Email and calendar are a single Google connection, so calendar sync arrives together with Gmail support.
If your agency runs on Google Workspace today, use a Microsoft 365 mailbox for your PlacementFlow desk in the meantime — calendar sync is required for interview scheduling.
When an interview is scheduled (candidate or client selects a time), PlacementFlow creates a calendar event with:
The event appears on your primary calendar within seconds of scheduling.
When you create a video interview, PlacementFlow auto-generates the meeting link:
| Your Calendar | Meeting Type |
|---|---|
| Outlook | Microsoft Teams link created automatically |
| Outlook + Zoom connected | Zoom meeting created |
| Google Calendar (coming soon) | Google Meet link created automatically |
Meeting links are embedded in the calendar invite and all confirmation emails. Participants can join directly without approval.
When you or your client propose interview times, PlacementFlow checks your calendar for conflicts:
Conflicts appear as warnings during scheduling. You can still book conflicted times if needed — they're not blocked, just flagged.
To verify your calendar is working:
If the test fails, you'll see an error message explaining what went wrong.
When an interview is rescheduled, PlacementFlow:
When an interview is cancelled, the calendar event is deleted and attendees receive a cancellation notice.
Go to Settings → Integrations → Calendar and connect your Microsoft account.
Click Reconnect to re-authorize PlacementFlow. This happens occasionally when your OAuth token expires or is revoked externally.
PlacementFlow syncs to your primary calendar. If you have multiple Google or Outlook calendars, events appear on the main one.
Once your calendar is connected, interview scheduling becomes seamless. When you create an interview, video meetings generate automatically. When times are confirmed, calendar events appear on everyone's calendar. Conflicts are detected before you propose bad times.
